What to record
- Contact details and preferred channel.
- Service history with dates, formulas, colours, lengths and products used.
- Allergies, skin sensitivities, medication or pregnancy notes where relevant.
- Patch test dates and results.
- Photos before and after, with permission.
- Preferences and personal notes so the next visit feels personal.
Patch tests and consultations
Follow the manufacturer and insurer guidance for the products you use, record the date the test was done, and do not let a client talk you out of it. If the record is not written down, for practical purposes it did not happen.
Handling client data responsibly
- Collect only what you need for the service and your insurance.
- Keep it in one secure system rather than notebooks, phone notes and screenshots.
- Ask before you post a client's photo, and record that they agreed.
- Delete records you no longer need, on a schedule you decide.
This is general guidance, not legal advice. Check the rules that apply where you work and what your insurer requires.
